Whether it’s a schedule, a spending account, or a personality, we tend to respond well to something that’s flexible as opposed to rigid in its adaptability. A business owner who has struggled, and has the frustrations to prove it, would likely add a hosted billing system to that list. What good is a VoIP billing system if you can’t alter it to accommodate your business needs? There are many factors to consider when thinking about your system, but today we’ll look at four fool-proof ways to handle account flexibility.

Lockdown

Do you want everyone to have access to everything? Is it alright with you if an employee who works in marketing has the same ability to log into your billing system as an employee who works in accounting? It’s not likely that you do. One way to handle account flexibility is to ensure that you can lock it down. If multiple people log on, you should be able to set it so that some may get more rights than others. Because even within your billing department, you may only want some associates to have access to certain levels of information.  

Fraud Prevention

The F word is back. Actually, it never goes away. We’ve talked about it many times and with good reason. While you’re sleeping, there are people out there scheming of ways to commit VoIP fraud. It’s simple to set up proper taxes for different jurisdictions. You can also modify your billing system to integrate with 3rd party tax systems. Tax time can be a major headache, but it doesn’t have to be taxing on you.

CPNI Compliant

Is your system CPNI Compliant? It should be. There is such a thing as Customer Proprietary Network Information (CPNI) and telecommunications companies must be compliant. Customer related information--credit cards on file, names, address, etc.-- it all has to be encrypted. CPNI is data collected by telecommunications companies about a consumer’s telephone calls--what services they use, amounts, type of usage, and more. This info is prohibited from being used for marketing purposes or without your customer's permission. Fourthly, a flexible account will be able to be set for compliancy.

 

Simply ensuring that these four things are included in your account flexibility will save you a great deal of strife. Because in business, and to paraphrase a famous quote, it pays to be flexible so you’ll never be bent out of shape.
